LET US PAY FOR YOUR OUTDOOR PROGRAM SUPPLIES
We are delighted to offer our hike hosts the opportunity to request supplies for Trail Kids RVA hikes and outdoor programs. Simple hikes are always great and have a special magic of their own, but occasionally our hosts may be inspired to use materials to make a hike more engaging or fun. We love creativity and want to help you bring your vision to life! After reading the guidelines below, please complete the form so that we can evaluate your request.
Examples of items Trail Kids will purchase for your hike:

Art supplies

Items to hand out to hike attendees (e.g., magnifying glasses, festive decor, books/reference materials, binoculars, etc.) - Feel free to get creative!
Trail Kids may also provide financial support for other requests. Please email us directly if your are requesting Trail Kids to cover the cost of any of the below:

Shelter rentals / outdoor venue costs

Minimal fees for services rendered by community partners

Admission costs for venues that require payment

Event insurance
-
Food or food truck attendance
-
Parking/Transportation
-
Clean-up supplies (we can provide these at no cost)

"Giveaway" items for hike attendees

Guidelines for requests:

Please put in all requests at least 30 days before the event date. If you need something sooner, email us directly.

Any hike where supplies are provided by Trail Kids must be on the Heylo calendar at least 2 weeks prior to the hike date.

If Trail Kids purchases supplies for a hike that is cancelled due to weather or other unforeseen circumstances, the host must reschedule the hike within 30 days.

Most purchases will be made through Amazon, so if you are able to provide links to specific items that will be help us evaluate your request.

Cultural themed activities open to all are welcome, please no overtly religious or worship activities (e.g., decorating ornaments would be ok, decorating crosses would not).

To the extent you are able, please limit requests for single use plastic goods. To the extent you are able, please prioritize using earth-friendly and/or compostable products.

Please limit requests for supplies to one per host per season (Winter/Spring/Summer/Fall).

Please limit the cost of requests as much as possible. Purchase approval will be given on a case by case basis by the Trail Kids Board of Directors taking into account the value of the programming proposed, the impact of the supplies requested, and the total number of hike attendees proposed to be served.

After submitting your request, please allow 5-7 days for Board approval. If your request is approved, supplies will be shipped to the address you provide within 2 weeks (subject to shipping delays and availability).

If you have program materials in mind that but aren't sure whether Trail Kids RVA will cover the cost, we encourage you to go ahead and put in a request. It never hurts to ask!
